Start with the requirement
State the exact product, acceptable grade or specification, intended use, spot or monthly volume, destination and required timing.
If alternatives are acceptable, define where the specification, origin or delivery basis can move and where it cannot.

Commercial parameters
Set out the preferred Incoterm, discharge point, trial quantity where relevant, payment basis, inspection requirement and any target price or reference formula.
A target should be identified as a working indication, not presented as an executable bid unless authority and validity are clear.

Certification and documentation
Specify any sustainability scheme, origin rule, assay, chain-of-custody record, import document or supplier approval required by your operation.
Early clarity prevents unsuitable supply from reaching the commercial discussion.

How sourcing is handled
The desk reviews the requirement, identifies potentially relevant counterparties and compares available supply against the product, corridor and commercial basis.
A search may produce no suitable offer. Availability is discussed only when a specific supply file has been reviewed.
