How to qualify a used cooking oil supplier

Establish the counterparty and its role

Identify whether the contact is a collector, aggregator, processor, seller or intermediary. Request the legal company name, registration evidence and authority of the person negotiating. Verify that the proposed banking details are consistent with the contracting counterparty.

Use independently obtained contact details when checking important documents. If the contracting party, bank beneficiary and certificate holder differ, obtain an explanation and the supporting relationship documents. Escalate unresolved inconsistencies.

Connect supply claims to material

Request the offered quantity, storage or loading location, lot identifiers and ready-to-load window. Distinguish demonstrated availability from a proposed monthly capacity. Quality evidence should represent the current lot rather than a generic sample.

Ask for an origin description and a record structure linking collection, aggregation and dispatch. Where scheme evidence is required, verify the relevant certificate and scope separately; it is not a substitute for physical availability or analysis.

Check readiness before commercial commitment

Confirm loading equipment, inspection access, container or tank arrangements and the receiving constraints. A complete file allows meaningful negotiation of an actual requirement. Missing information is a reason to clarify or pause, not an invitation to fill gaps with assumptions.
