Direct answer

A useful UCO sample must represent the identified lot and have a documented collection method and chain of custody. Agree the sampling location, responsible inspector, laboratory, seals and retained samples before relying on the analysis for cargo acceptance.

Identify what the sample represents

Define the tank, batch or shipment being offered and reconcile its identifier with the analysis report. A sample from an earlier delivery does not establish the quality of a new cargo. Record the time and place of sampling and whether any transfer or blending happened afterwards.

FOSFA publishes contractual sampling methods for oils and fats, including sample handling. Use the method agreed for the relevant contract, with a competent inspector deciding how to address the actual tank condition.

Protect the evidence trail

Specify who draws the sample, who witnesses it and who takes custody. Agree unique labels and tamper-evident seals. Instruct the laboratory on methods, reporting units and the lot identifier so that results remain connected to the physical material.

Retained samples support later investigation only if their identity and handling are reliable. Agree the number of retained sets, storage arrangements and retention period rather than assuming that the laboratory or supplier will keep them indefinitely.

Set the decision point before loading

Clarify whether the agreed acceptance evidence is generated at the loading point, receiving point or both. State who pays for inspection and additional tests. Handling a disputed result after discharge is harder if no representative sealed sample or agreed decision procedure exists.

Buyer questions

Is a supplier’s small sample enough?

Only if its representativeness and chain of custody are established for the lot under assessment. Otherwise arrange appropriate lot sampling.

Does inspection guarantee sustainability eligibility?

No. Physical inspection and quality testing do not replace origin evidence or the required sustainability documentation.

Sources and evidence

Primary references support the stated technical definitions. Procurement checklists are editorial guidance, not evidence of a specific lot, shipment or certification.

Confirm laboratory methods, commercial terms and applicable requirements with the buyer and qualified advisers before contracting. No guide establishes stock availability or company certification.
